Setting up Routing Rules
Configuration of routing rules always makes it clear who should be delivered which case
Routing rules setup is only available for firms on the Xtend plan or higher. Contact support if you are on this plan and the routing rules tab does not yet appear.
What are routing rules?
Routing rules are a way of codifying the process your team already uses to determine which cases should be referred to which firms. For example if you need to refer out a Personal Injury Case in Kansas, your team would no longer have to refer to various spreadsheets or documents, they would have that guidance directly in the Case Xchange app.
Routing rules are determined by four different criteria: Jurisdiction, County, Case Type, and Tier (1-5 rating system).
Configuration
To configure routing rules go to the routing rules tab on the left hand side. From here you can click "Create Rule" to get started. When creating a rule:
- Pick a rule name and description. These are solely for your own reference and not required, though can make bulk import easier
- Select the routing criteria between states, county, case types, and tiers. If any of these aren't selected all of them would apply (e.g. for a firm dealing with Social Security cases nationwide you do not need to specify state)
- The county field will always be dependent on the selected state(s) and is not required. This can be useful for sending cases to a specific part of the state (e.g. the Los Angeles area or the NYC boroughs) but is not needed otherwise.
- Add firms for which the routing criteria apply.
- Cases will be distributed in the order listed and loop back to the beginning after the end
- Adding a firm more than once will weight it extra in the order. E.g. adding Firm A twice and Firm B once will result in twice as many cases going to Firm A in order.
- You can also create new firms not yet on the platform by selecting "Create Inactive Firm"
Attempt Numbers
Routing rules can also be used for supporting multiple referrals if the case is rejected or withdrawn. This can be configured in a number of ways based on the "Evaluated on attempts" under each firm name. These numbers represent the first number of attempts that firm will be evaluated and the last number of attempts it'll be evaluated. For example:
- Choosing "1 to 1" will only evaluate the firm on the first referral
- Choosing "1 to 3" will evalute the firm on the first, second, and third referral
- Choosing "2 to 10" will not evaluate the firm on the first referral, but every future attempt
Bulk Import
After creating a few rules you can bulk import the rest easily through the "Import CSV" function at the top of the page.
Here you can export a sample that will give you a sense of the information required and instructions on which each field represent on the import.
If wanting to import groups of rules for similar types of cases (e.g. a general personal injury grouping including personal injury, general injury, slip and fall, automobile accident, etc.), bulk import can be the easiest way to do this as you can specify a group of comma separated case types all at the same time.
Sending Cases with Routing Rules
When routing rules are activated, the first screen of sending a referral will be replaced with the ability to specify jurisdiction, county, case type, and tier before selecting a firm. The selected firm can always be overridden, but the specified jurisdiction and case type will carry over to the case itself in the details screen.
A similar screen will also appear when re-referring a rejected or withdrawn case, but as the jurisdiction and case type is already set, the only editable field will be tier.
