Using the CaseXchange CloudLex Extension
Automatically link and sync CloudLex cases with CaseXchange
The CloudLex extension does one thing really well: it puts a button inside your CloudLex pages that connects cases to matching Case Xchange referrals — and keeps them in sync automatically.
This guide walks you through setup, one step at a time. No technical skills required: if you can copy and paste, you can do this in about ten minutes.
Overview
Once installed, when you open a CloudLex case, the extension looks for a matching referral in Case Xchange. Find one and link it with a click — from then on, status updates in either system flow to the other automatically.
Two things to know:
- Information flows both ways. Update a case status in CloudLex, it updates in Case Xchange. Update it in Case Xchange, it updates in CloudLex (after you refresh the page).
- You can record settlement details too. Link a case, change its status to closed, and the extension lets you record the settlement amount, attorney fees, and fee agreement percentage — all from CloudLex.
Before you begin
Prerequisites:
- Google Chrome — the extension works in Chrome only (not Edge, Safari, or Firefox).
- Active CloudLex login — you need your normal CloudLex email and password.
- Case Xchange account on Xpand tier or higher — Xpand ($250/mo), Xtend, or Xccelerate. The extension doesn't work on the free Xplore tier.
Don't know your tier? Log into Case Xchange and go to Settings → Firm Profile. Your plan name is listed there. If it says Xplore, contact your Case Xchange rep to upgrade.
Quick setup
Chrome Web Store → Add Extension → Settings → Paste API Key → Save & Verify → Done

Step-by-step setup
- Install the extension in Chrome
- Open Google Chrome and go to the CaseXchange extension page on the Chrome Web Store.
- Click the blue Add to Chrome button.
- Click Add extension on the permission popup (the extension only accesses CloudLex and Case Xchange pages).
- Chrome may hide the extension behind a puzzle-piece icon in the top-right. Click the puzzle-piece, find Case Xchange, and click the pushpin next to it to show it permanently.
- You should now see a small Case Xchange icon in your Chrome toolbar.
- Get your Case Xchange API key
- Log into app.casexchange.com.
- Go to Settings → Integrations → Public API.
- Click Create full Access key (or copy an existing one if it's already there).
- Click the Copy button next to the key, or select the whole string and press Ctrl+C.
- The key is a long string starting with
cxp_. Make sure you grab the whole thing with no extra spaces.
- Connect the extension to Case Xchange
- Click the Case Xchange icon in your Chrome toolbar. A Settings tab opens.
- Make sure the Environment dropdown says Production (leave it there — don't change it).
- Click in the API Key box and paste your key: Ctrl+V.
- Click Save & Verify. The button briefly says "Verifying…"
- You'll see a green message: ✅ Connected to Production as [Your Firm Name]
- You're done. Close the Settings tab.
Using it every day
The status dot
The Case Xchange button appears inside your CloudLex intake, lead, and case pages. It has a small colored dot in the corner — this tells you what's happening:
- Gray — no referral is linked yet (this is normal if no match exists)
- Green — case is linked and in sync ✓
- Orange (flashing) — a match was found, or something needs your attention
- Red — connection error (usually means the API key isn't set up)
Hover over the icon anytime to see details (like "Last sync: 2:14 PM" or "Match: Jane Smith (REF-1042) — 95%").
Linking a case
When you open a CloudLex case, the extension automatically searches for a matching referral using the client's name, email, phone, and date of birth.
- One match found? Tooltip shows it. Click Link to connect them. The dot turns green.
- Multiple matches found? Tooltip shows a list with match percentages. Click the correct one.
- No match? Gray dot says "No cases linked yet." This just means no matching referral exists — nothing's wrong.
Changing status and recording outcomes
For linked cases (green dot):
- Hover over the extension icon.
- Click Change status... dropdown.
- Pick your new status.
- If a reason is required, type it (e.g., "Lost at trial" or "Client unresponsive").
- If you're closing, select an outcome: Won/Settled, Lost, or No Longer Pursuing.
- If you selected Won/Settled, three money boxes appear:
- Settlement amount (e.g., $75,000.00)
- Attorney fees (e.g., $25,000.00)
- Fee agreement % (e.g., 33.33%)
- Click Apply. For serious actions (close, reject), confirm a second time.
- You'll see: Status updated to [status name] ✓
The change syncs to Case Xchange immediately.
Automatic syncing
The extension syncs automatically every 5 minutes while you're logged into CloudLex. You don't have to do anything — it just works in the background.
If you log out of CloudLex, syncing pauses. It resumes automatically when you log back in. No data is lost.
Want it to sync right now? Click the extension icon to trigger an immediate sync instead of waiting for the next 5-minute cycle.
Troubleshooting
The dot is red and won't connect.
- Click the Case Xchange icon in your Chrome toolbar and look for a green message: "Connected to Production as [Your Firm]"
- If you don't see it, the API key isn't set up. Redo Step 3 above (paste your key again and Save & Verify).
- If it says "Invalid API key," you may have copied it with extra spaces. Go back to Case Xchange Settings → Integrations → Public API, copy the full key again (no extra spaces), and paste it into the extension.
- If it says "Your plan is too low," your firm is on Xplore tier. Contact your Case Xchange rep to upgrade to Xpand.
The dot is gray and says "No cases linked yet."
- This usually just means there's no matching referral in Case Xchange for this case. It's fine.
- If you expected a match, double-check that the client's name, email, phone, and date of birth match exactly between CloudLex and Case Xchange (even typos prevent matching).
- Try clicking the icon to run a fresh check.
I don't see the extension icon anywhere.
- In the toolbar (top-right)? Click the puzzle-piece icon, find Case Xchange, and click the pin to show it permanently.
- Inside CloudLex pages? The icon only appears on intake, lead, and case pages — not on lists or settings screens. Try opening an intake or case. If still missing, refresh the page (press F5).
Syncing doesn't seem to update.
- Make sure you're logged into CloudLex in the same Chrome window. Syncing pauses when your session ends.
- Click the extension icon to sync right now instead of waiting for the 5-minute cycle.
- If the dot is red, fix the connection first (see "The dot is red" above).
I logged out of CloudLex — did I break anything?
- No. Syncing just pauses while you're logged out. When you log back in, it resumes automatically. No data is lost.
My firm is on Xplore (free) tier. Can I use the extension?
- No, it requires Xpand tier or higher. Contact your Case Xchange rep or support@casexchange.com to upgrade to Xpand ($250/mo).
FAQs
Q: Can I use this in other browsers?
A: No, Chrome only. The extension is built for Chrome's architecture.
Q: What if I change my CloudLex password?
A: No problem — the extension keeps working. It uses your current CloudLex session, not your password.
Q: Can I use the extension in Incognito mode?
A: Not recommended. Extensions in Incognito can lose their settings. Use normal browsing mode.
Q: What happens if I uninstall the extension?
A: The links you created stay in Case Xchange (they're stored there, not just locally). When you reinstall, your links are still there.
Q: How many cases can I link?
A: As many as you need. There's no limit.
Q: Will Lead Docket send information back into Case Xchange?
A: Not yet. Information only flows one way: CloudLex to Case Xchange and back when you make changes in the extension UI. If you change a status directly in the Case Xchange web app, refresh CloudLex to see the update.
Q: Is my API key safe?
A: Yes. It's stored locally in your browser and only sent to Case Xchange. We never store it on our servers, and it's never visible unless you deliberately reveal it.
Q: Do I need the extension to use Case Xchange?
A: No. Case Xchange works fully without it. The extension is optional convenience if you use both CloudLex and Case Xchange.
